FAQ: What are the Fieldworker and Stakeholder hosted views used for in Survey123?

Question

What are the Fieldworker and Stakeholder hosted views used for in Survey123?

Answer

When creating a survey through Survey123 for ArcGIS, a folder is created in Portal or ArcGIS Online called "Survey-SurveyName." Within this folder is a form item and a feature service (if the service was not created prior to publishing). But you may notice as you begin to work with permissions from the Survey123 website, some new hosted views appear in your survey folder. Error messages may also be encountered relating to these views, so it is important to note where and why they exist.

The hosted views you may see are SurveyName_fieldworker and SurveyName_stakeholder. These are both Hosted Views created automatically from the main feature service, and they are used to manage permissions for different aspects of the survey.

The Fieldworker view is generated upon survey creation at survey123.arcgis.com. The Stakeholder view is generated upon modifying sharing settings from survey123.arcgis.com.

  • Create Survey from survey123.arcgis.com > generates Fieldworker
  • Collaborate > Viewer > generates Stakeholder

Fieldworker:

The fieldworker is used to manage permissions for submission to the survey as a non-owner. So if you'd like to modify whether a user can add/update, just add, or just update surveys, you would manage those permissions through the hosted view.

Here is where things get a little tricky: The fieldworker view only gets generated if you published your survey from te Survey123 website. If you published from Connect, all permissions for submission are simply managed under the main feature service, and the fieldworker view is never created.

Stakeholder:

The stakeholder view is used to manage permissions for viewing the survey as a non-owner. So when any user other than the owner of the survey views the Data tab of the Survey123 website, the stakeholder view is being queried from ArcGIS Online to display the map on the site. So permissions can be filtered or managed from this view to dictate how/what the users see on the Data tab.
