Swap an ArcGIS Online administrator with an open organization seat

Summary

Among the administrator privileges in ArcGIS Online is the authority to manage members, which includes the capability to add a new administrator to the organization. In some cases, swapping administrators in an organization is necessary when the organization has limited membership and a new member to replace the outgoing administrator is required. This article provides the steps to swap administrator roles in an organization with an open seat in ArcGIS Online.

Procedure

Note:
Only ArcGIS Online administrators can perform the following workflow.
  1. Invite the member to join the organization's account. Refer to ArcGIS Online: Invite members to join using an account of their choice for more information on sending the invitation. Alternatively, create a new account. Refer to ArcGIS Online: Add members and notify them via email for more information.
  2. Upgrade the new member to the administrator role. After inviting the member to join the organization, the existing administrator must change the member's role to administrator. Refer to ArcGIS Online: Change member roles for more information.
  3. Transfer the items from the existing administrator to the new administrator.
Note:
Items may be corrupted or lost if they are not moved to the folder destination with the matching name. For example, the ArcGIS Survey123 folders, ArcGIS Business Analyst folders, and ArcGIS Community Analyst folders must be transferred to matching folder names from the existing administrator's folders, so the relevant applications can recognize the items.
  1. In ArcGIS Online, on the Organization page, click the Members tab.
  2. Find the previous administrator's username in the Search members section.
  3. Click More options The More options icon, and click Manage items.
  4. Copy the names of the folders listed in the Folders pane and paste them in a blank document.
  5. Click on one of the folders.
  6. Select all the items in the folder and click Change owner.
  7. In the Change owner window, search for and click the new administrator's account.
  8. Under the Folder section, click edit.
  9. Click Create new folder and paste the matching folder name.
  10. Click Save.
  1. Transfer the group ownership to the new administrator. Refer to ArcGIS Online: Edit group properties and settings for more information.
Note:
Optionally, complete Steps 5 through 7 to delete the previous administrator's account.
  1. Revoke the license of the previous administrator. Before deleting a member from the organizational account, the administrator must revoke the member's licenses.
    1. In ArcGIS Online, on the Organization page, click the Members tab.
    2. Click More options The More options icon, and click Manage add-on licenses.
    3. For any ArcGIS Pro license, click Deselect > Save.
    4. For any checked license, uncheck and click Save.
  2. Disable Esri access. Disabling the members accounts consequently disables the members' access to MyEsri, training courses, Esri Community, ArcGIS Blogs, and email communications from Esri. Refer to ArcGIS Online: Enable Esri access for more information on enabling and disabling Esri access.
  3. Delete the member. Refer to ArcGIS Online: Delete member for more information.
