Restrict members from sharing content publicly in ArcGIS Online

Summary

In ArcGIS Online, content can be shared privately, with the organization, or publicly. In some instances, certain content, for example the company’s annual revenue and losses, must be kept internal. This article describes various options to restrict members from sharing content publicly.

Procedure

Use one of the options below to disable members from sharing ArcGIS Online content publicly.

Change the member's role to restrict sharing privileges

In ArcGIS Online, change the member’s role to Viewer or Data Editor. Members with a Viewer or Data Editor role do not have the privilege to share content.

Create and assign a custom role without the ‘Share with public’ privilege

In ArcGIS Online, create a custom role, disable the Share with public privilege, and assign the role to the member. Members with the custom role are unable to share content publicly without this privilege.

Disable the public sharing option for all members in ArcGIS Online

In ArcGIS Online, an administrator can disable public sharing of content for all members using the steps below. This enables only administrators to share content publicly.

  1. In ArcGIS Online, navigate to Organization > Settings.
  2. On the left of the page, scroll down, and click Security.
  3. Scroll to Sharing and searching, and toggle off the Members can share content publicly. option.
The 'Sharing and searching' section under Security for an organization in ArcGIS Online displays the option to enable members to share content with other organizations.

Alternatively, to disable certain organization's content(s) from being shared, set the item's sharing level to Owner by following the steps below. This disables members from viewing and sharing the content. Only administrators or members with the View all administrative privilege can view private content. Refer to ArcGIS Online: Share items for more information.

  1. In ArcGIS Online, navigate to Content > My Content.
  2. Click the item’s name to open the item details page, and if necessary, click the Overview tab.
  3. On the right of the page, click Share.

  1. In the Share window, set the sharing level to Owner, and click Save.
