ArcGIS Desktop to User Type Transition Administrator Action Guide

Summary

Esri is transitioning customers from ArcGIS Desktop maintenance to ArcGIS user types. This transition ensures that your organization receives the most up-to-date functionality, improved security, and streamlined administration while your users gain access to a modern geospatial platform beyond desktop-only GIS with ArcGIS Pro as the desktop component and ArcGIS Online or ArcGIS Enterprise as the web component supporting multiple focused apps.

Today, many organizations are using Creator user types and add-on licenses for ArcGIS Pro that were included as entitlements with their ArcGIS Desktop maintenance. When your ArcGIS Desktop maintenance term ends, these entitlements will expire.

What this means for your organization

Once your ArcGIS Desktop maintenance expires, the included Creators and ArcGIS Pro add-on licenses will also expire. However, members that previously licensed ArcGIS software through these entitlement licenses will still be assigned a Creator user type. If there are more user types or add-on licenses assigned to members than are available in your ArcGIS organization, the organization will have over-assigned licenses.

User types purchased at renewal will be provisioned before your maintenance expires. Before you take any action to reassign your user types, we encourage you to review the ArcGIS Pro add-on licenses you had previously assigned to members. This will help you understand which members will need to be assigned a new user type.

In ArcGIS Online, user types purchased as part of an ArcGIS Desktop renewal are automatically provisioned to the organization. In ArcGIS Enterprise, user types are made available in My Esri and administrators control when those are provisioned to their ArcGIS Enterprise organization.

Timing and avoiding interruptions

For ArcGIS Online, new user types appear in your organization one day before your maintenance expiration.

For ArcGIS Enterprise, new user types are provisioned to My Esri when your renewal is processed.

Users may lose access to ArcGIS Pro if licensing remains unassigned. If this occurs, ArcGIS Pro users will see the following error when signing in:

The number of licenses assigned to users exceeds the number of licenses available in your organization. Please contact your administrator to reconfigure your organization's licenses.

Procedure

Note:
This workflow applies to ArcGIS Online and ArcGIS Enterprise 12.1 and later. If using ArcGIS Enterprise 12.0 or earlier, the App filter steps do not apply, but you can use the Manage licenses functionality to determine which members have ArcGIS Pro add-on licenses assigned and assign them the appropriate updated user type.
  1. Sign in to your ArcGIS Online or ArcGIS Enterprise organization.
    1. If the organization has more user types assigned than the subscription allows, you’ll see an Action required: over-assigned user types message. Go to Step 3.
Warning:
Do not use the Manage add-on licenses functionality from the Add-on licenses box before re-assigning user types. If the ArcGIS Pro add-on licenses are unassigned from users before assigning updated user types that include ArcGIS Pro, it will not be possible to use the App filter described below to identify which members have ArcGIS Pro Standard add-ons or ArcGIS Pro Advanced add-ons assigned.

  1. Use the App filter to identify which users have which licenses, then assign new user types to those members.
    1. Go to the Organization > Members tab.
    2. Use the App filter to show members who are assigned an ArcGIS Pro Standard add-on or ArcGIS Pro Advanced add-on.

    1. Assign the new user types provisioned to your organization with your renewal to the respective members. The Professional user type includes access to ArcGIS Pro Standard and the Professional Plus user type includes access to ArcGIS Pro Advanced. Do this for multiple members at the same time using the multi-select check boxes and then click Manage user types.

    1. In this example, the Manage user types/role page shows that 5 Creators are over-assigned and 5 Professionals are available. Click the Creator row and assign the Professional user types to the 5 selected members.

    1. Repeat as necessary if you have ArcGIS Pro Advanced add-ons assigned to members in your organization and confirm every ArcGIS Pro user has an appropriate user type applied.
  1. Administrators who sign in to ArcGIS Online after the entitlement Creators and ArcGIS Pro add-on licenses are expired will see an Action required: over-assigned user types warning.

    1. Assign the new user types provisioned to your organization with your renewal to the respective members. The Professional user type includes access to ArcGIS Pro Standard and the Professional Plus user type includes access to ArcGIS Pro Advanced.
